For businesses that handle confidential information, I build private client portals — and the occasional automation — that run on infrastructure you control. Your own isolated system, with AI working for you under enterprise terms, never routed through consumer platforms.
And when you need a professional online presence to match, I build fast, modern websites tailored to your brand — designed to make a strong first impression and turn visitors into clients.
A professionally designed website is your hardest-working employee — available 24/7, never calls in sick, and makes a great first impression every single time. I build modern, fast, mobile-friendly sites tailored to your brand and your customers.
AI and software can save your business hours every week — but if you handle confidential information, where that data lives and travels matters as much as what the tools do. Private Managed Hosting is built for businesses that can't afford to get this wrong.
Whether I build you a client portal, an automation, or both, every client gets their own private, isolated system — your own database, application, and AI key, kept completely separate from every other client. Your data is connected to AI services under enterprise terms, and never routed through consumer platforms. The result: the same productivity gains you'd get from popular AI tools, with a defensible answer to the question "where does our client data go?"
The centerpiece of most setups is a private, branded portal your team logs into to run the day-to-day — all on your own isolated system. Think of it as your firm's secure command center: clients, documents, and AI-powered tools in one place, accessible to your staff and no one else.
Most popular AI and software tools route your data through shared servers, retain it for years, or use it to train future models. For attorneys, healthcare providers, financial advisors, HR teams, and anyone bound by confidentiality obligations, that's not an inconvenience — it's a liability. The fix isn't avoiding AI; it's running it on infrastructure you control, under terms that forbid training and guarantee deletion.
For attorneys: three 2026 federal rulings (Morgan, Warner, and Heppner) draw the line not at "legal AI vs. general AI," but at consumer accounts vs. enterprise terms — exactly what this setup provides. Read the full case-law analysis →
Per-client isolation, encryption in transit and at rest, no AI training on your data, and your choice of fully managed or self-hosted infrastructure — every system is built to a standard you can hand to an auditor. The full breakdown, in plain English, lives on its own page.
A closed loop. Client data never touches a consumer AI product. The AI call is governed by enterprise terms with no training and a short retention window. Logs, backups, and access controls live on infrastructure that belongs to you — not a third-party platform.

Let's Build Your SiteAutomations don't have to be complex to be valuable. Some handle a dozen tasks at once; others — like the office visit tracker — do one small job that quietly takes time and stress off a team's plate, so workers can focus on what matters and still get the information they need.
The examples below are deployed, real-world automations currently running for clients — not demos or mockups. They represent a fraction of what's possible. New examples are added regularly as we build, and the range of problems automation can solve is far broader than what you see here. If you have a process in mind, let's talk about it.
Watches a dedicated inbox around the clock. When an email arrives with a recognized subject, the automation identifies the form type — Proof, DACA, AOS, and more — extracts the attachment, and routes it through an AI analysis engine that checks every field for errors, omissions, and missing signatures. The sender receives a detailed correction report within minutes, and every scan is automatically logged to a shared spreadsheet. Zero manual review. Nothing slips through.
Monitors a Telegram group chat via webhook. When a staff member posts a message tagged with #office, the automation instantly parses the client name and any accompanying notes, then logs the visit to a live data store. At 4:00 PM every day, a scheduled scenario sweeps the store and fires a clean summary email — a complete list of everyone who walked through the door that day. Reception-level visibility, with zero reception overhead. It works especially well for businesses with multiple office locations — each location logs visits the same way, and everything rolls up into a single daily digest so nothing gets missed across the board.
When physical mail is scanned at a remote office and uploaded to Dropbox, the automation kicks in immediately — pulling each PDF, reading its contents, and using AI to determine whether it's client correspondence or administrative mail. Client documents are filed automatically into the correct Dropbox folder, creating a new client folder if one doesn't exist yet. Admin and personal mail is routed to a dedicated folder, and at the end of each day a digest email goes out with a summary of everything that arrived. A fully staffed mailroom, without the mailroom.
Staff upload a client document — an ID, a prior filing, any paperwork with client details — and the app reads it automatically, pulling out every piece of relevant information and building a structured contact card on the spot. The contact card is fully editable: staff can review the extracted data, correct anything that's off, and fill in anything the document didn't contain. Once the card is confirmed, that information is used to populate whatever forms are needed — no re-typing, no copy-and-paste, no transcription errors. The same client data, flowing cleanly into any form, every time.
Have a process that's eating your team's time?
Let's Automate ItRunning a small business means wearing a lot of hats — and too often, those hats involve repetitive, time-consuming tasks that pull you away from the work that actually grows your business.
That's where custom automation comes in — built around your exact process, not bent to fit someone else's. Instead of paying a premium for big-box software that still only does part of what you need, you get a workflow shaped to the way your business actually runs: less wasted time, less wasted money, and nothing you're paying for but don't use. Here's what that looks like in the real world:
A new client submits their information online. A case file is created in your case management system. A welcome email goes out immediately. The attorney has a task waiting for them — all before anyone has touched a keyboard.
New listing inquiries route to the right agent automatically. Follow-up sequences trigger based on client activity. The right documents reach the right people the moment they're needed — with zero manual intervention.
A new matter opens and the intake details flow straight into a client record. Court dates and filing deadlines land on the calendar with reminders attached. Documents organize themselves by case from day one — so nothing slips during an already stressful time for the client.
Client questionnaires turn into organized files automatically. Signing appointments trigger the right document packets. Periodic review reminders go out on schedule — so wills, trusts, and powers of attorney stay current without anyone tracking it by hand.
Instead of just moving data from point A to point B, your workflows can now reason, interpret, and act on the content itself. This is where the real time savings happen.
These are exactly the kinds of tasks that eat up hours of staff time every week — and exactly the kinds of tasks that automation handles better, faster, and more consistently than any manual process can.
The best part? The same capabilities that large enterprises pay hundreds of thousands of dollars for are now accessible to any small business — at a fraction of the cost.
Let's Talk About Your BusinessMost of what I build connects through direct, secure API integrations. But some older or niche tools simply don't offer one. When that happens, I can still bridge the gap using a commercial visual automation platform to connect the apps you already use.
It's the pragmatic fallback, not the default — and I'll always tell you which approach a given tool needs, and why, so you know exactly how your data flows before anything is built.
For confidential work, these platforms are used only for non-privileged steps — admin, scheduling, intake routing. Anything sensitive stays inside your isolated system. See how that line is drawn →
Visual workflow builder for complex multi-step automations — connects hundreds of apps with precision logic.
The fastest way to link your apps — 6,000+ integrations to get data moving between your favorite tools instantly.
Open-source automation that can run on isolated infrastructure — for when a workflow should stay closer to home.
Smart automation that reads, writes, categorizes, and responds — handling nuanced tasks that rules alone can't.

Founder & Lead Developer — Built Smart by Rob
My relationship with technology started in 1989 — the day I got my first computer, I took it apart and upgraded it. I've never looked back.
Since 1994, I've built a career spanning nearly every corner of the IT industry: technical support, network administration and engineering, application management, incident and problem management, identity and access management (IAM), and governance, assurance, and compliance. Along the way, I've always had a soft spot for small businesses — setting up servers, configuring email systems, wiring offices for Ethernet back when Wi-Fi was still science fiction, and generally making sure smaller organizations could access enterprise-grade capabilities without enterprise-grade price tags.
In 2025, a corporate reduction in force gave me the nudge to explore some other chapters. I ran a general contracting company for a stretch, and when shifts in the real estate market slowed that down, I leaned into another passion: travel. I became an Independent Travel Agent — because if I'm going to book my own cruises, I might as well earn a commission doing it.
But IT has a way of pulling you back.
In my last corporate role, my primary focus was writing scripts to automate the collection and analysis of data for risk assurance and compliance. I loved every minute of it. That experience got me thinking: why not bring that same focus on automation to small businesses?
That's what Built Smart by Rob is all about. I combine decades of real-world IT experience with modern tools that can accomplish remarkable things at a fraction of traditional costs. Whether you need a brand-new website, a redesign of an existing one, or custom automations that eliminate repetitive tasks and streamline your workflows — I can build it.
The goal is simple: help your business run smarter, so you can focus on what you do best.
Whether you have a process that's eating your team's time, need a private automation infrastructure your business can actually trust, or want a professional website that works as hard as you do — I'd love to hear about it. No hard sell, just an honest conversation about what would actually help.
